1. WHAT THIS PAGE COVERS

This page explains what you can remove yourself, what those actions reach, and how your organization asks Unicore to delete the records Atlas holds.

The Atlas for Google Docs™ Privacy Notice at unicoregp.com/privacy/atlas-google-docs is the full statement of how the Atlas for Google Docs™ add-on (the "Add-On") and the Unicore Atlas platform (the "Platform") handle your data. Where this page summarizes the notice, the notice governs.

2. WHAT YOU CAN DO YOURSELF

You can do both of these from your own Google account, without asking Unicore.

2.1 Remove the Add-On.

You can uninstall the Add-On through Google, from the Google Workspace Marketplace™ or from the add-ons manager in a Google document.

Uninstalling stops the Add-On obtaining anything further from Google, and removes your Atlas sign-in token from the private storage Google provides to the Add-On for your account.

2.2 Revoke its access without uninstalling.

You can revoke the Add-On's access and keep it installed, at myaccount.google.com/permissions. Select Atlas for Google Docs™ and remove its access.

The Add-On then reaches nothing from Google. It cannot read the identifier or the name of a document you open, and it cannot obtain the email address of the Google account you are signed in as.

3. WHAT REMOVING THE ADD-ON DOES NOT DO

Worth reading before you treat uninstalling as a deletion. It is not one.

3.1 It does not delete the records Atlas holds.

The documents your organization asked Atlas to review, the record of those reviews, and the audit trail behind them stay in your organization's Atlas account. They are your organization's records rather than yours alone, which is why removing the Add-On from your own account does not remove them. "Deleting the Records Atlas Holds" describes how to ask.

3.2 It does not remove the working state left in your documents.

The Add-On stores a small amount of its working state inside the documents you opened it in: which Atlas draft a document corresponds to, what kind of document it is, whether a review is in progress, and the names of the Drive files a draft drew on. That state is not part of your document's text, and it stays in those documents after you uninstall.

You can remove it by deleting those documents, or by writing to [email protected].

3.3 It does not erase the record that you accepted the privacy notice.

Unicore keeps a record that you accepted the notice and which version, so that it can evidence the acceptance. That record holds your email address and no document content.

4. DELETING THE RECORDS ATLAS HOLDS

4.1 Why your organization makes this request.

Your organization holds the Atlas account, and the records in it belong to your organization. One person's deletion request would delete another person's work, so the request comes from the organization rather than from whoever asks first.

4.2 How to ask.

Ask your organization's Atlas administrator, who can make the request to [email protected]. If you are the administrator, write to that address directly and say which records you want deleted.

Unicore acknowledges the request within five (5) business days and completes it within thirty (30) days.

4.3 What the levels of deletion remove.

Deletion works at two levels, and the levels remove different records.

Deleting a single document removes that document and the search index entries derived from it. It does not remove the document text held in Unicore's records of that document's language model calls. Unicore removes that text when it deletes the workspace.

Deleting your organization's workspace removes the documents Atlas holds for your organization, the search index entries derived from them, the review records and findings, and the document text held in Unicore's records of language model calls.

4.4 What survives deletion.

Unicore keeps records of authentication, notice acceptance, administrative access, and system activity. Those records hold the email address of the account that acted and hold no document content.

5. WHAT ATLAS HOLDS, SO YOU KNOW WHAT TO ASK ABOUT

Atlas stores the text of the documents it ingests, the search index entries derived from that text, and the complete prompt and response of language model calls. Together these are the audit record that lets a compliance review be reproduced and challenged.

Atlas keeps that record while your organization's Atlas subscription is active, and deletes it within ninety (90) days after the subscription ends. For thirty (30) days after the subscription ends, Unicore makes your organization's data available for export on written request.

The Atlas for Google Docs™ Privacy Notice states this in full, together with who receives your data and where Unicore stores it.
